Job Description

 

We are seeking a Director of Finance and Operations to join our team and work closely with senior staff to develop and implement organizational policies and procedures and ensure operational excellence. This role is both highly strategic and operationally focused. It requires a combination of focus, flexibility and capacity to build trust with a highly diverse group of people, and comfort weighing and executing against competing priorities. You will manage both the operations of the company as well as the finance department and ideally have specific experience in both areas.

 

As a key member of the Vote.org team, the Director of Finance and Operations organizes and manages the financial and administrative work of the organization. This person ensures operational success of the organization by leveraging skills in financial management, operational support, quality control, reporting, and compliance. This position will be fully remote.

 

 What You’ll Do: 

  • Ensure all programs have the proper operational support and resources to operate effectively and efficiently.
  • Work in collaboration with VOTE.ORG HR team on implementing company policies, compensation and benefits frameworks, onboarding employees, and onboarding/offboarding contractors.
  • Ensure all policies and procedures are in compliance with applicable local, federal and state regulations and laws governing business operations.
  • Help plan and coordinate the annual budget process, in partnership with senior leadership.
  • Oversee core accounting functions in partnership with external accounting firm support, including accounts receivable and payable, payroll, bank records, financial statement preparations, and other accounting activities.
  • Manage the organization’s financial recordkeeping system, including proper coding of income and expenses.
  • Design, implement, and evaluate consistent, strong internal financial controls.
  • Prepare financial reports and work with senior leadership and departments on spending, budgeting, and cash flow management.
  • Collaborate with the Director of Development on donor and grant income tracking, grant applications, and grant reporting.
  • Collaborate with senior staff in executing contracts and memoranda of understanding (MOUs) with vendors and partners.
  • Develop and support a healthy, productive, and caring employment environment and a cohesive organizational culture that embraces a diverse mix of collaborators including consultants and full time employees. 

 

What we hope you’ll bring: :

 

  • Advanced knowledge of nonprofit business operations. At least seven years’ experience as Manager or Director of Operations or equivalent, preferably in a nonprofit organization. 
  • Demonstrated financial operations and basic accounting knowledge, with experience creating budgets, preparing financial reports and tracking financial metrics..
  • Experience working with accounting and payroll software and information management.
  • Awareness of legal and ethical business, program and operational practices, including experience in human resources, business and nonprofit law, and governance.
  • Have a strong learning orientation – the ability to learn from mistakes, the desire to continuously improve and grow, and the capacity to foster this with staff across the organization.
  • Skilled team leader and adept at building interpersonal relationships, especially in remote-only work environments.
  • Can execute effectively and flexibly during fast-paced election cycles and balance multiple, time-sensitive priorities.
  • Highly effective written and oral communication skills.
  • Strong analytical and problem-solving skills.
